This policy explains how the SASC app collects, uses, and protects information about club members and administrators.

1 Overview

The SASC app ("App", "we", "our", or "us") is the official mobile application for Sunrise Arts and Sports Club, Muthuthala Vadakkumuri, developed by Prydio. This Privacy Policy explains how we collect, use, and safeguard your information when you use the App.

By using the SASC app, you agree to the collection and use of information in accordance with this policy.

Short version: We collect only what's needed to run your club membership and communications. Member data is managed by club administrators. We never sell your data.

2 Information We Collect

Information you provide directly:

  • Account information: name, phone number, address, and profile details provided during membership registration.
  • Payment information: amounts paid, payment dates, and receipt records (no card or banking details are stored).
  • Event responses: RSVP status for club events.
  • Poll responses: votes and answers submitted to club polls and surveys.

Information collected automatically:

  • Device information: device type, OS version, and app version for troubleshooting.
  • Usage data: features used, session activity, and crash reports (anonymized).
  • Authentication data: OTP verification history for secure login.

3 How We Use Your Information

We use the information we collect to:

  • Create and manage your club membership profile and digital ID.
  • Track membership fees, record payments, and generate PDF receipts.
  • Enable club administrators to manage and communicate with members.
  • Send push notifications for dues, events, and announcements.
  • Enable RSVP tracking for club events and participation in polls.
  • Improve app performance and fix technical issues.
  • Comply with applicable legal obligations.

We do not use your information for advertising, profiling, or any purpose outside of the SASC club management service.

4 Sharing Your Information

We do not sell your personal information. Information is shared only in these limited circumstances:

  • Club Administrators: Admins of Sunrise Arts and Sports Club can view member profiles, payment history, and RSVP status as part of their club management duties.
  • WhatsApp: When an admin sends you a WhatsApp payment reminder, your phone number is used to initiate the message. This is always initiated by a club administrator, not automatically.
  • Service Providers: Cloud infrastructure and analytics partners, bound by confidentiality agreements.
  • Legal Requirements: If required by law or to protect rights and safety.

Your data is only accessible to authorised club administrators and the Prydio development team for support purposes. It is never shared with advertisers or third-party data brokers.

5 Member Data & Admin Access

Club administrators (Admin and Manager roles) have access to member information within the app as part of their official club responsibilities. This includes:

  • Member profiles, contact details, and membership status.
  • Payment records, outstanding balances, and advance credits.
  • Event RSVP lists and poll responses.

Admins are responsible for handling member data in accordance with this policy and applicable law. The club administration is responsible for any use of member data outside of the SASC app.

6 Data Retention

  • Member profiles: Retained while your membership is active. Deleted within 30 days of account deletion upon written request.
  • Payment records: Retained for the duration of your membership and up to 7 years thereafter for financial record-keeping compliance.
  • OTP verification logs: Automatically deleted after 24 hours.
  • Anonymized analytics: May be retained indefinitely as they cannot be linked back to you.

7 Security

We implement industry-standard security measures to protect your data:

  • Secure OTP-based authentication — no passwords stored.
  • Encryption of data in transit using HTTPS/TLS.
  • Data at rest encrypted using AES-256.
  • Powered by Firebase with enterprise-grade security infrastructure.
  • Role-based access control — Callers only see their own data; admins see club-wide data.

We will notify you promptly in the event of a data breach that affects your personal information.

8 Your Rights

You have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or outdated data.
  • Deletion: Request deletion of your personal data (subject to legal retention requirements).
  • Portability: Request your data in a machine-readable format.
  • Objection: Object to our processing of your personal data.

9 Children's Privacy

The SASC app may be used by junior members of the club. For members under the age of 13, a parent or legal guardian must complete registration on their behalf and provide consent for data collection.

10 Third-Party Services

The SASC app uses the following categories of third-party services:

  • Firebase (Google): Cloud database, authentication, and real-time sync infrastructure.
  • Push Notifications: Via Apple APNs and Google FCM for member alerts and reminders.
  • WhatsApp: Used by admins to send payment reminders. WhatsApp's own privacy policy applies to those messages.
  • PDF Generation: For generating official payment receipts within the app.

All third-party partners are vetted and required to handle data in accordance with applicable data protection standards.

11 Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will notify you via in-app notification and update the "Last Updated" date above. Continued use of the App after changes constitutes acceptance of the updated policy.
